This policy explains how Altitude Edinburgh Roofing collects, uses and protects the personal information you give us — whether through our website, by phone, by email, or in person during a survey or job. We've kept it as plain as we can.
1. Who we are
Altitude Edinburgh Roofing ("we", "us", "our") is a roofing contractor based in Edinburgh, covering Edinburgh and the Lothians. We are the data controller for the personal information described in this policy.
2. What information we collect
We only collect information we actually need in order to give you a quote, do the work, and stay in touch about it.
Information you give us directly
- Contact details — your name, phone number, email address and the postcode of the property you want work on.
- Project details — anything you tell us in a contact form, by email, or on the phone about the roof, the building, or the issue you're trying to fix.
- Survey and job records — photos of your roof from our photographic survey, notes from the site visit, and the written quote we send you.
- Payment details — bank transfer references when you pay an invoice. We do not collect or store card details on this website.
Information we collect automatically
- Website usage — basic analytics about how the website is used (pages visited, rough geographic region, device type, referring source). This is anonymised and described further in the cookies section below.
- Server logs — IP address, browser type, and timestamps, kept temporarily for security and to keep the site working properly.
Information we don't collect
We don't ask for or store your date of birth, your national insurance number, payment card details on this site, or any "special category" data (health, race, religion, etc.). If you ever feel you're being asked for something unusual, push back — we genuinely don't need it.
3. How we use your information
We use the information you give us to:
- Respond to a quote request or enquiry within 24 hours.
- Visit the property, carry out a free survey, and send you a written photographic report.
- Send you a fixed-price quote and follow up if you have questions.
- Carry out the roofing work if you go ahead, and keep you updated through the job.
- Send you the written workmanship guarantee on completion.
- Issue invoices and process payment.
- Keep records for tax, insurance, warranty and complaint-handling purposes.
We do not use your information for marketing to you unless you've specifically asked to receive marketing emails — and even then you can unsubscribe at any time.
4. Our legal basis (UK GDPR)
Under UK GDPR we need a lawful basis to process your personal information. The bases we rely on are:
- Contract — when you ask us for a quote or hire us, we use your data to fulfil that contract or to take steps before entering into it.
- Legal obligation — keeping records for tax, accounting, health and safety, and warranty purposes is required by law.
- Legitimate interests — running a small roofing business: keeping basic records of past customers, following up on quotes, and protecting the security of our systems.
- Consent — for non-essential cookies and any optional marketing communications. You can withdraw consent at any time.
5. Cookies and analytics
This website uses a small number of cookies and similar technologies. We try to use as few as possible.
- Essential cookies — needed for the site to work (e.g. remembering whether you've dismissed a cookie banner). These don't require consent.
- Analytics cookies — we use anonymised analytics to understand which pages are most useful and where we can improve the site. We do not use these to build advertising profiles or sell data.
You can refuse non-essential cookies through the cookie banner when you first visit, or by changing your browser settings. Refusing non-essential cookies will not stop the site from working.
6. Who we share data with
We do not sell your data, ever. We share information only with the small number of trusted service providers who help us run the business:
- Our email provider — to send and receive emails relating to your enquiry or job.
- Our accountant and accounting software — for invoicing, tax returns and statutory record-keeping.
- Our website host and analytics provider — to run the website itself.
- Our insurer — only if a claim is made or relevant to the work carried out.
We may also share information where we are legally required to (for example, in response to a valid request from HMRC, the police, or a court), or where it's necessary to protect our rights or the safety of others.
7. How long we keep your data
We only keep your information for as long as we need it. In practice:
- Quote enquiries that don't go ahead — kept for up to 12 months in case you come back to us, then deleted.
- Customers we've worked for — kept for 6 years after the work is completed, in line with HMRC tax record requirements and our 10-year workmanship guarantee.
- Photographic survey reports — kept alongside the customer record for the same period.
- Website analytics — anonymised and retained for up to 26 months.
8. Your rights
Under UK GDPR you have a number of rights over the personal information we hold about you. You can:
- Access it — request a copy of the personal information we hold about you.
- Correct it — ask us to fix anything that's inaccurate or out of date.
- Erase it — ask us to delete it, where we don't have a legal reason to keep it (e.g. tax records).
- Restrict it — ask us to stop using it for certain purposes while a question is being resolved.
- Object — object to processing where we are relying on legitimate interests.
- Port it — receive a copy in a portable format for transfer to another provider.
To exercise any of these rights, email us at info@altitudeedinburghroofing.com. We'll respond within 30 days. There's no charge unless your request is clearly unreasonable or repeated.
If you're not happy with how we've handled a request, you have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection: ico.org.uk or 0303 123 1113.
9. Changes to this policy
We may update this policy from time to time — for example, if we change the tools we use, or if the law changes. The "last updated" date at the top of the page will tell you when we last did so. If the change is significant, we'll let existing customers know directly.
